Accurate Signing & Notary LLC
Privacy Policy
Effective October 20, 2026
How Accurate Signing & Notary LLC collects, uses and protects your personal information.
Who we are
Accurate Signing & Notary LLC ("we," "us") is a Maryland notary business offering mobile notarization, online (remote) notarization, loan signings and apostille facilitation. This policy explains what personal information we collect through accuratesigningservice.com and our services, how we use it, and the choices you have.
Information we collect
We collect only what we need to provide our services:
- Contact details: your name, email address and phone number.
- Apostille request details: the type of document, where it will be used, how many documents, needed-by date, return method and any notes you add.
- Appointment details: date, time, location and the type of service you book.
- Identity verification: for every notarization, Maryland law requires us to verify each signer’s identity, usually with a government-issued photo ID. For online notarizations, identity checks are completed through our secure notarization platform.
- Payment information: payments are processed by Stripe. We do not see or store your full card number.
- Basic website data: like most websites, our host may collect standard technical information such as browser type and pages visited.
How we use your information
- To respond to your request and provide notary and apostille services.
- To schedule appointments and send confirmations, receipts, invoices and order updates you ask for.
- To let you look up your apostille order status with your order number and email address.
- To keep the records Maryland law requires of notaries.
- To process payments, prevent fraud and meet legal, tax and accounting obligations.
Notary records required by Maryland law
Maryland notaries must keep a journal of every notarial act, including the date, a description of the document, the name and address of each signer and how they were identified. We keep the journal for 10 years after the last entry, as the law requires. For online notarizations, we must keep an audio-visual recording of the session for at least 10 years. Because the law requires these records, we cannot delete them on request during that period.
How we share information
We do not sell or rent your personal information. We share it only as needed to provide our services:
- Government offices that issue apostilles or authentications, such as the Maryland Secretary of State, a Maryland Circuit Court clerk or the U.S. Department of State, when you ask us to submit your documents.
- Service providers that help us run our business, such as our scheduling tool (Calendly), payment processor (Stripe), email and file storage providers (Google and Microsoft), our website host (GoDaddy) and our online notarization platform. They may use your information only to provide services to us.
- Shipping carriers, when you choose to have documents returned by mail or courier.
- When the law requires it, such as a valid subpoena or a request from the Maryland Secretary of State.
How long we keep information
We keep apostille requests, appointment details and payment records for as long as needed to provide the service and to meet tax and legal requirements. Notary journals and online notarization recordings are kept for the periods Maryland law requires, described above.
How we protect information
We use reputable providers with security safeguards, limit who can access your information, and do not keep copies of your documents or IDs longer than needed to complete your order. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information.
Your choices
- You can ask to see, correct or delete the personal information we hold about you, except records the law requires us to keep.
- You can choose not to provide information, but we may then be unable to complete your request.
- We do not send marketing emails. Messages we send are about requests and appointments you made.
Children
Our website is not directed to children under 13, and we do not knowingly collect their information online. Notarizations for minors are handled in person or online with a parent or guardian as Maryland law allows.
Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last changed.
